This Privacy Policy explains how Vyken Systems, LLC (“Vyken™,” “we,” “us,” or “our”) collects, uses, shares, and protects information when you use the Vyken™ property vulnerability intelligence platform, our websites at vyken.ai and vykensystems.ai, and related services (collectively, the “Services”). Because our Services involve property photographs, location details, and security-relevant information, we treat the data you share with particular care.
1. Information we collect
We collect information you provide directly, information generated through your use of the Services, and limited information from third parties.
Information you provide
- Contact & account details — name, email address, phone number, company or organization, and similar details you submit through our forms.
- Property information — the property address or location, property type, descriptions, and the details you share so we can assess vulnerability.
- Photographs & media — images or other media of a property you choose to upload for assessment.
- Payment information — payments are processed by our payment processor (Square). We do not store full card numbers; we receive limited confirmation and billing details.
- Communications — the content of messages, inquiries, and correspondence you send us.
Information collected automatically
- Device & usage data — IP address, browser type, device identifiers, pages viewed, and interactions with the Services.
- Cookies & similar technologies — as described in the Cookies section below.
2. How we use information
We use the information we collect to:
- Provide, operate, and deliver the Services, including generating CPTED + CARVER Asset Protection Matrix™-scored vulnerability assessments and reports;
- Communicate with you about your assessment, account, requests, and inquiries;
- Process payments and maintain records of transactions;
- Improve, secure, and develop our Services and methodology;
- Send you administrative messages and, where permitted, relevant updates (you may opt out of marketing at any time);
- Comply with legal obligations and enforce our Terms of Service.
3. Property photos & security-sensitive data
Vulnerability assessment is, by nature, sensitive. The photographs, layouts, and findings you share — and the assessment reports we produce — may reveal security-relevant details about a property. We therefore apply heightened safeguards:
- We use property photos and details solely to produce and support your assessment, not for advertising or unrelated purposes.
- Access to property data and finished reports is limited to personnel and expert reviewers who need it to deliver the Services.
- We do not sell property data, photographs, or assessment findings.
- You may request deletion of uploaded media and reports as described in “Your privacy rights.”
4. Legal bases for processing
Where required by law (for example, under the EU/UK GDPR), we process personal data on these legal bases: performance of a contract (to deliver the Services you request); your consent (which you may withdraw); our legitimate interests in operating and improving the Services; and compliance with legal obligations.
5. How we share information
We do not sell your personal information. We share information only as follows:
- Service providers — vendors who process payments (Square), deliver email and scheduling, host data, and provide analytics, under contractual confidentiality obligations.
- Expert reviewers — the industry and national-security professionals who review assessments, bound by confidentiality.
- Legal & safety — when required by law, legal process, or to protect rights, safety, and the integrity of the Services.
- Business transfers — in connection with a merger, acquisition, financing, or sale of assets, subject to this Policy.
6. Data retention
We retain personal data and property information for as long as needed to deliver the Services, maintain business records, comply with legal obligations, resolve disputes, and enforce our agreements. When data is no longer needed, we delete or de-identify it. You may request earlier deletion as described below, subject to legal and legitimate-business exceptions.
7. How we protect your data
We use administrative, technical, and organizational safeguards designed to protect information appropriate to its sensitivity, including access controls, encryption in transit, and limited internal access. No method of transmission or storage is completely secure, so we cannot guarantee absolute security; we encourage you to share only what is necessary for your assessment.
8. Your privacy rights
Depending on where you live, you may have rights to access, correct, delete, or port your personal information, to object to or restrict certain processing, and to withdraw consent. Residents of California (CCPA/CPRA) and other U.S. states with privacy laws may have rights including the right to know, delete, correct, and opt out of “sale” or “sharing” (we do not sell or share personal information as those terms are commonly defined). Residents of the EU/UK have rights under the GDPR.
To exercise any right, contact us at legal@vykensystems.ai. We will verify your request and respond within the time required by applicable law. We will not discriminate against you for exercising your rights.
9. Cookies & analytics
Our websites use cookies and similar technologies to operate the site, remember preferences, and understand usage. You can control cookies through your browser settings; disabling some cookies may affect site functionality. Where required, we will request your consent for non-essential cookies.
10. Children’s privacy
Our Services are intended for adults and are not directed to children under 16. We do not knowingly collect personal information from children. If you believe a child has provided us information, please contact us and we will delete it.
11. International users
We are based in the United States and process data in the U.S. If you access the Services from outside the U.S., you understand your information may be transferred to and processed in the U.S., where data-protection laws may differ from those in your country.
12. Changes to this policy
We may update this Privacy Policy from time to time. When we do, we will revise the “Last updated” date above and, for material changes, provide additional notice. Your continued use of the Services after an update constitutes acceptance of the revised Policy.
